On-Site Personnel Registration

All on-site personnel must be registered in advance of the conference. Badges can be picked up on-site at the MedscapeLIVE! registration desk. Exhibitor/sponsor badges provide access to the general sessions, space permitting. If the session room reaches capacity, we do ask that exhibitors/sponsors leave available seating for conference attendees.

To receive the complimentary badges included with your sponsorship or exhibit space, please use the discount code previously provided by MedscapeLIVE! In order for the discount code to be accepted and applied, you must select the “Exhibitor (Badge Only)” registration category.

NOTE: Exhibitors/sponsors are not allowed to engage in Q&A and/or discussions in the general session room. Additionally, exhibitors/sponsors cannot attend Industry Expert Sessions sponsored by companies with which they are not affiliated.

Lead Retrieval License

If you are interested in lead retrieval for your tabletop exhibit, we offer an app-based system that can be used with any smartphone or tablet. With this system, you would purchase a license ($225/each; one license per device), download the app to your phone/tablet, and scan attendees as they visit. Leads are available immediately to the sponsoring company.

Conference Bag Inserts

All bag inserts must be shipped directly to the Hyatt Regency Cincinnati and arrive no later than Wednesday, October 15, 2025. Inclusion in the conference bags cannot be guaranteed for inserts received after the October 15 deadline.

All promotional materials for your Industry Expert Session must contain the following disclaimer language:

This bonus presentation is independently organized and not an official part of Psychopharmacology Update 2025. CME/CE credit is not provided for this session.

Audio/Visual Equipment for Industry Expert Sessions

MedscapeLIVE! provides a standard audio/visual package for each Industry Expert Session which includes a screen, projector, laptop, microphone, podium, and confidence monitor.

Meals During Industry Expert Sessions

All food functions are provided by MedscapeLIVE! and are not provided by any sponsor or supporter. There should be no mention of food or beverages on invitations or promotional items for Industry Expert Sessions. MedscapeLIVE! will not provide food and beverage receipts, as these items are not provided by the sponsors. Because all food is included in the attendee registration fee, it is not reportable.

Cancellation of Industry Expert Sessions (and Sponsorship Opportunities)

Due to high demand and limited time slots for Industry Expert Sessions, sponsorships are considered non-cancellable after the established deadline. NOTE: This policy also applies to all other sponsorships outlined in the prospectus including, but not limited to, Wi-Fi sponsorship, conference branding, hotel branding, etc.

Cancellation Policy

Should Company cancel more than 90 days in advance of the first day of the conference, Company is liable for 50% of the fee. Should cancellation occur inside of 90 days of the first day of the conference, then Company is responsible for 100% of the fee. Cancellations must be made in writing to MedscapeLIVE!

Code of Conduct

This code of conduct applies to all event attendees and participants, including all members, speakers, vendors, media representatives, commentators, exhibitors, sponsors, staff, and volunteers. This Code of Conduct is a mandatory requirement in order to attend or participate in this event.
